Overview:

INTECON, LLC seeks a highly organized and detail-oriented Senior Administrative Specialist to provide specialized administrative and program support for the Defense Counterintelligence and Security Agency’s (DCSA) Office of General Counsel (OGC). This position requires an experienced professional who can manage administrative functions, oversee legal reference materials, coordinate office operations, and serve as a liaison for OGC with internal and external stakeholders.

Key Responsibilities:

  • Executive Administrative Support:
    • Perform the full range of administrative duties in support of the DCSA General Counsel and attorneys in OGC to ensure smooth office operations.
    • Manage calendars, coordinate schedules, and facilitate meetings for OGC leadership.
    • Prepare, edit, and format legal correspondence, reports, and other official documents following DoD and agency standards.
    • Maintain and manage official records, ensuring compliance with federal and DoD record-keeping policies.
    • Receive and route phone calls, visitors, and correspondence in a professional and timely manner.
    • Order office supplies and track inventory to ensure operational efficiency.
  • Point of Contact (POC) Responsibilities:
    • Serve as the primary POC for OGC administrative functions, interfacing with DCSA staff in acquisition, financial management, personnel, and support services offices to facilitate office operations.
    • Oversee the procurement and maintenance of legal reference materials, ensuring timely updates and renewals for online subscriptions and physical resources.
    • Track current funding levels and budget allocations for OGC’s administrative needs.
    • Ensure proper property accountability for office assets and materials.
  • Legal Reference and Documentation Management:
    • Monitor and maintain the currency of legal reference materials, including the United States Code, Code of Federal Regulations, case law reports, and subject-specific legal treatises.
    • Draft purchase requests for legal updates and subscriptions for approval by the General Counsel.
    • Implement updates and manage the organization of legal reference libraries as new materials are received.
  • Operational and Program Support:
    • Provide administrative oversight of task tracking and correspondence management within OGC, ensuring timely and accurate completion of assignments.
    • Assist in maintaining compliance with DCSA and DoD policies related to legal documentation and administrative protocols.
    • Support OGC attorneys and leadership in handling sensitive and confidential materials with discretion and professionalism.
  • Task Management: Oversee agency-level tasks via the Correspondence and Task Management System (CATMS) or successor systems, including assignment, tracking, and completion of tasks. Review, edit, and finalize correspondence to align with DCSA and DoD standards.

Clearance Requirements:

  • Active Top Secret (TS) clearance is required; TS/SCI clearance is preferred.

Qualifications:

  • Bachelor’s degree in Business Administration, Legal Studies, or a related field is required; relevant experience or certifications may substitute for a degree.
  • 10+ years of high-level administrative experience supporting senior executives in government, military, or large-scale corporate environments.
  • 6+ years of experience in calendar management, scheduling, and prioritization of executive-level tasks.
  • 5+ years of experience managing workflows in task management systems such as CATMS, SharePoint, or equivalent platforms.
  • 3+ years of experience supporting senior executives or attorneys in a legal, government, or high-profile administrative environment.
  • Strong expertise in task tracking, correspondence management, and executive scheduling.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF portfolio management.
  • Advanced writing, editing, and analytical skills with keen attention to detail.
  • Ability to manage multiple priorities under tight deadlines in a fast-paced, high-pressure setting.
  • Strong knowledge of DoD correspondence standards, security policies, and government workflows.
  • Must demonstrate excellent written and verbal communication skills, attention to detail, and interpersonal skills of tact and diplomacy.
  • Experience in legal reference management, including maintaining legal publications and tracking legal updates, is strongly preferred.
  • Certifications such as Certified Administrative Professional (CAP), Project Management, or Paralegal Certification are highly desirable.
